Terms and Conditions
Admission: The Capital Training Institute DOES NOT DISCRIMINATE ON THE BASIS OF AGE, RACE, RELIGION, COLOR, NATIONAL ORIGIN, SEX, OR DISABILITY IN ITS ACTIVITIES, PROGRAMS, OR EMPLOYMENT PRACTICES. We follow the direction provided by our partners and the regulating authority in providing admissions.
REFUND POLICY
● Students must apply for the refund request in writing to Student Services on hello@capital.ac.ae
● Any application fee, visa fees (when applicable), service request fees, agent fees or registration fees and VAT once paid is non-refundable, nontransferable and nonadjustable, for any reason.
● Any refunds will be calculated from the date of application. For clarity, any classes missed while sessions are being run are counted as classes taken while counting the refunds. All refund cases will be treated alike and no exceptions will be made in any case.
● The calculation of tuition fees is determined based on enrolment status and not actual attendance. This means that if student stops attending, but do not formally withdraw from or interrupt their studies, they will be liable for tuition fees due towards the Institute. Students should contact the Student Services Department for the formal process of interruption of studies/ deferral of studies.
Refund of fees (registration fees are non-refundable) will be made in the format below:
a. 2 weeks before the start of program – 75%
b. On the day of the start of program – 50%
c. After one class session – 25%
d. After two class sessions – 00%
● Refund by medical exception: Students who cross the refund duration and are eligible for no refund, can yet request refund in an event they have met with illness that prohibits them from continuing studies and they hold a valid medical certificate from a government hospital (not private clinic). These students are eligible for a refund of 10% or balance fees whichever is less at any stage of their study. The student must share their medical report.
● Students who are sponsored by the Institute and have taken student visa (when applicable) with Capital, will not be eligible for a refund once the student visa is issued, whether stamped or not.
● Refund will take 15 working days to be processed.
● All refunds are processed through bank account transfer through account payee cheques (In case the student doesn’t have bank account, parents account can be given). No cash refunds will be made. There will be no adjusting the refund amount or transferring the amount to other individuals or students or to other courses/ programs.
● Capital Training Institute LLC is unable to refund fees when the student is absent (from Program) due to illness or injury or other emergency, unforeseen event or change in personal circumstances. The Fee Payer is therefore advised to arrange adequate insurance to provide cover for the refund of fees in such cases of illness or injury or other emergency, unforeseen event or change in personal circumstances.
● Relocation of Capital Training Institute LLC to another location will not form a reason to seek refund.
QUALIFICATION AND RELATED
Claiming & release of qualifications: Capital Training Institute LLC does not issue its own awards unless specified with “training diplomas”, but works with external qualification bodies and is responsible for offering facilitation and tuition only. Capital Training Institute LLC will claim from the respective provider student’s qualifications only upon the students completing all the necessary assessments and clearing their dues in a timely manner. The Qualifications are issued by the respective bodies at their own time frames. Ideally 90 working days from date of claim when all student formalities have been completed. Student understands that Capital does not control the time frames. Delay in payments, delay in assessment submissions/re-submissions/resits by the student will lead to the claim period moving to the next cycle of qualification issuance by the respective Institute.
Dual or Triple Qualification Program: Student enrolling in dual or triple certificate / qualification program will only be able to receive all the qualifications upon completion of the entire program the student has enrolled for. Students will not be issued any Diploma/ Certificate/Transcripts until the completion of the entire program they have enrolled for and clearance of all dues towards the Institute. Should the student wish to exit the program in between prior to completion of the entire programs, they will not be eligible to claim for any certificate/ diploma. Interim qualifications: Students who are eligible to earn an interim qualification as a part of the larger qualification will only receive all the qualifications together upon completion of the entire program they have enrolled for and clearance of all dues.
Attestation of Qualifications: Capital Training Institute LLC will assist the students with information on agencies who conduct attestation of qualifications credit bearing courses issued by the respective Awarding Body / Institute Partner as the case may be. Capital Training Institute LLC will not perform any attestation service on behalf of the student. The students are advised to check the accreditation status of the Awarding Body/ Institute Partner prior to enrolling for the program by the respective authorities. Capital Training Institute LLC will not be responsible for the Partner Institute or Awarding Body losing or changing its accreditation body or for the modification in policies of the UAE authorities regarding attestation of the same. In an event of change of partnership with an awarding body / Institute partner, Capital will do best to offer an alternative solution and mode of study to complete the remainder of the qualification. None of the above changes will lead to refunds in any instance. Students moving to different batch at a different date will be subject to re-registration fee if the period exceeds the registration validity period, and will require a medical certificate from Government hospital.
Retention of Records:
Capital will keep some forms of data far longer than others. Because of storage problems, data about students cannot be kept indefinitely, but the length of storage will fully comply with the awarding organisation and Ofqual awarding body guidelines. Specific data relating to student records will be kept as noted below:
Student Transcript and Diploma Supplement – 5 years
Records documenting awards and classifications – 5 years
Records documenting the handling of formal – 5 years
complaints made by individual students against the institution – 5 years
Records documenting the handling of complaints by individual students were the formal complaints procedure is not initiated.- 5 years
Disciplinary cases where the outcome is permanent expulsion.- 5 years
Records documenting the handling of complaints by individual students where the formal complaints procedure is not initiated.- 5 years
PROGRAM – DURATION AND RELATED
Students must complete their program within the duration (start month/year and end month/year) of their program. The maximum duration is mentioned in table below. Please at all times remain in constant touch with Student Services by email if you seem to be having an issue that would be an obstacle in completing in the given period, please do let them know so they can guide you. Discontinuing without formally informing is not an option. It will result in student being withdrawn from the program and the student will have to re-register for the program by filling the re registration form and paying associated fees and re commence the program at the prevailing program price as of the date of request to re-register for the program. The tuition and other fees paid till date of re registration request shall not be carried over when the student re registers for the program.

Advance Diploma Program (Incl Professional Diploma program) – 12 months
Level 3 Diploma 06 months
Level 4 Diploma 06 months
Level 5 Diploma 12 months
Training and Executive Diploma 06 months
PROGRAM EXTENSION: If the program maximum duration is crossed, the student must if they choose to continue extend the program by filling out the program extension form for the same, if he/she is unable to meet the academic requirements during the enrollment period. Program extension duration will be the same as the original enrolment period. Student should submit the Program Extension Form and pay the associated fees of AED 2205 inclusive of VAT to Institute before the expiry of the original enrollment period.
PROGRAM WITHDRAWAL: If a student is unable to continue their program due to personal, financial or any other reason; they should officially withdraw from the program. The withdrawal fee is AED 365+VAT. Program Withdrawal Form should be submitted to student services through email. Until the student officially submits the withdrawal request and it is approved by the Institute, it is considered that student is still enrolled into the program. In case the student withdraws from the program without completing the withdrawal formalities, he/she is liable to pay the tuition fees in full as per the agreed offer letter and student enrollment agreed. Capital Training Institute LLC will deposit the postdated cheques provided by the student to collect the tuition fee as per the offer letter and proforma invoice and will continue to email the students for their outstanding due towards the Institute.
PROGRAM FREEZE: A student can freeze the study temporarily due to any personal, financial or other reasons. Student would submit the Program Freeze Form stating clearly the reason for the request, duration of freeze and pay the corresponding fee of AED 500+VAT to avail the service. Program cannot be put on freeze beyond the enrollment validity as per the signed offer letter and student enrollment agreement. If the program freeze request extends beyond the enrollment validity of the program, then the student will have to re-register for the program and their tuition fees paid will not be carried forward and their tuition fee pricing will change as per actuals at the time of the request. Furthermore, Program Freeze approval or denial is only for the academic commitment of the student towards the program enrolled for and student is still liable to pay for the program despite the freeze request. Any changes in financial commitment of the student towards the Institute has to be accompanied by separate form “Payment Extension Form” and is subject to approval by the Institute.
PROGRAM UNFREEZE/RE-JOIN: A student can unfreeze the program when he/she is ready to continue the study. However, if the rejoining duration fully/partially extends the enrollment period the student has to Re – Register for the program as per the Institute policy. Student has to submit the Program Re-Join /Unfreeze Form and pay the corresponding fee to rejoin the program. CHANGE OF PROGRAM: In the case a student intends to change the program in which he/she is enrolled for, they would have to do so by submitting the Program Change Form. Any difference in the tuition fee is to be paid by the student. In case of program change, payment extension is not possible beyond the enrollment period. Tuition fee paid for modules which are already taken by the student will not be refunded or adjusted to the new program unless the modules / subjects overlap in which case an internal transfer will take place of the units done.
CHANGE OF STUDY MODE: In case a student intends to change the mode of learning, they would have to submit the Program Change of Mode Form to student services and pay the associated fees of AED 365+VAT. The change of mode of learning is approved based on the availability of programs in the requested mode and also if there is a change in subsequent tuition fees from change will be advised to the student and then change be initiated.
CHANGE OF PAYMENT MODE: Students can request for the change of payment mode by submitting a Change of Payment Mode Form to student services. Change of payment mode request should be made 10 working days before the due date. The IMF will not be refunded in case the student opts to pay the balance payment through postdated cheques, cash, and card. To request for the postdated cheques, student will need to fill out “Cheque Replacement Request Form” for each cheque provided to the Institute and pay the relevant service fees.
Administrative and Academic Hold
i. Student who do not honor their payments will not be permitted to access any classes or student services.
ii. Students who do not have the minimum attendance requirement of 80% will be placed on Academic Hold
Late Payment Penalty: Student agrees to pay the fees due as per the dates on the proforma invoice and offer letter signed. The Institute does not provide a reminder service for fees due; they may do so out of courtesy. The first reminder will be sent 7 days prior to the due date, followed by a second reminder on the due date itself, which will include a courtesy period of 3 additional days to make the payment. If payment is not made within this courtesy period, a late payment penalty will be applied. A final notification will be sent after the courtesy period ends, advising the student of the incurred penalty. Student not paying tuition and fees on time due to not receiving reminders does not constitute a reason to delay payments. Reminders are sent out of courtesy and any delays in receiving reminders should not be considered basis to make payments on time. In any case, a student has a proforma invoice which the student has signed at the time of enrollment and it has all agreed dates of payments and amounts clearly mentioned. and a late payment penalty of AED 50/- + 5% VAT- per week from day one of the due date crossing will be payable by the student.
Payment Extension: Student who has requested to extend their program through the Program Extension Form can request to extend their dues/payments outstanding towards the Institute by filling out the Payment Extension Form and paying the associated service charges. Students must submit the Payment Extension request at least 10 working Days before the due date.
Amendments: Any amendments/changes in the program, program duration, change of program mode, payment terms are valid only when signed in the new offer letter and accompanying student enrollment agreement and proforma invoice.
Verbal Commitments: The student’s offer letter clearly mentions the program enrolled for, program fee, duration of the program, program start and end dates, accepted payment terms, mode of study, refund policy, late payment penalty and related. By signing an offer letter and student enrollment agreement, the student accepts the admission and abides to the terms and conditions of Capital Training Institute LLC. Capital Training Institute LLC does not entertain or make any oral or verbal commitment to students.
Program Curriculum: Capital Training Institute LLC does not award certificates or diplomas but only offers tuition for the programs offered in partnership with Awarding Bodies. Hence, Capital Training Institute LLC cannot be held liable for any change in curriculum, tests, projects and other topics of the program during the course of the program or when the student rejoins or unfreezes the program; is not the responsibility of Capital Training Institute LLC. If the student has completed certain modules and then withdrawn from the program or has applied to freeze the program and upon re registering or unfreezing the program, the curriculum has changed or assessments etc. have been modified by the Institute and/or Awarding body, then the students will have to reattempt those modules and pay associated fees for each of those modules as determined by Capital Training Institute LLC. Capital Training Institute LLC, in these instances will not be held liable and the student hereby understands that these changes will lead to additional costs for each of those modules to be borne by the student and also increase in duration of the program to complete those modules. Student also understands that Capital Training Institute LLC may not offer those modules during the remaining period of the student’s programs duration. In this instance where a student after re registering or unfreezing of a program is unable to complete the modules of the program, the student hereby agrees to extend the program by filling out the program extension form and paying the associated services fees.
FACULTY: Capital Training Institute LLC appoints experienced faculty as per guidelines laid down by its Institute partner and/or Awarding Body and all faculty members are approved by the partners. Different faculty members are assigned for different modules by Capital as per their respective expertise and in relation to the module. Capital Training Institute LLC as per guidelines by its Partner Institute and/or Awarding Body has a diverse faculty team. Student hereby agrees to attend classes for their modules/program with the Faculty members assigned by Capital. Any request for change in faculty members or any request to have the same faculty members for multiple modules will not be entertained by Capital Training Institute LLC. Should the student have any complaint against any Faculty member must in the first instance write to the Student Relations/Services team individually and inform them about the entire experience/incident with the faculty member in question. The complaint will then be investigated by the Academic Manager and subsequently by the Senior Management of Capital. The student hereby understands and confirms that group complaints requesting to change faculty will not be entertained by Capital Training Institute LLC.
PERMISSION TO USE IN MARKETING: By enrolling with Capital Training Institute LLC, the Student, Parents or Guardians consent to the reasonable use of the student details and academic and professional achievements, including images and recordings of the student howsoever made, for promotional purposes.
PART TIME WORK & INTERNSHIPS: Capital Training Institute LLC does not guarantee, assure, or take the responsibility of providing any paid or unpaid internships or full-time or part-time jobs.
ACADEMIC PERFORMANCE
1. Capital Training Institute LLC reserves the right to withdraw a programme or subjects / modules within a programme at any time, giving reasonable notice wherever possible, and will provide a suitable alternative Programme or subjects / modules wherever possible. Capital reserves the right to cancel the program if the minimum recruitment level is not met.
2. The student is accepted at Capital on the understanding that progression through the relevant programme is conditional upon satisfactory attendance in lectures, practical trainings, activities, workshops and attaining reasonable performance targets and completing the relevant credits.
3. Any student found to have misled the Institute of their qualifications, medical or psychological history, learning difficulties, or suitability for entry will be subject to expulsion from Capital Training Institute LLC without recourse to refund of fees already paid. Should an alternative programme be more suitable, a student may be counselled on to such a program
4. Student needs to maintain minimum 80% attendance requirement to be able to complete the module/ program.
5. Student needs to earn minimum grades as per the requirements set forth for the programme they have enrolled for, by the Awarding Body / Institute. The awarding body or the partner Institute has the final authority on the final grades of the student. The awarding body or the partner Institute can alter the grades given by Capital Training Institute LLC or may even mark the student fail in some modules (units or subjects) or all of them. Student must agree and accept the grades awarded by the awarding body or the partner Institute.
6. This may lead to resubmission or re-sit or retake for assignments or exams and may also lead to delay in the progression of the student to the next academic session and may delay the certification of the student. The student will have to bear the expenses of such resubmission of exams or assignments, or resit or retake of modules. There will be a cost to re sit an exam and resubmit your assignment. The cost for the same will be informed to you.
7. If the awarding body or Institute rejects or asks for resubmission of assessments, assignments, or exam papers by the student for any reason then the student must, irrespective of the marking or assessment previously done by Capital Training Institute LLC assessors, re-perform the assignment or resubmit the same. The Institute is not responsible or liable in the case where the assessment done by the assessors of the Institute is challenged by the awarding body or the Partner Institute and same must undergo a change, resulting in a change in the outcome of the assessment. The student will bear all costs and fees as mentioned in the resubmission / retake/ re sit policy.
8. If the student does not complete his course work or does not pass exams or clear assignments in time, then the admission cannot be carried forward beyond the stated academic term or course duration. In such scenarios, the student will be considered as de-registered, or admission cancelled automatically upon completion of the academic duration. They will earn a grade of F (Fail) and would have to re-register to resubmit the assessment if beyond maximum course duration.
9. CIRCUMSTANCES LEADING TO EXPULSION:
The student maybe expelled from the Institute if:
a. The student fails to abide by Awarding Body, the Partner Institute and The Institute’s rules, as set out in the Prospectus, Circular & Guidelines or announced by the Institute from time to time. b
b. The student is involved in serious or aggravated disciplinary or behavioral matter including continued or repeated misconduct, or if it is considered by the Institute that such a withdrawal is in the best interests of the student or the study group.
c. The student indulges in malice intent towards the Institute or defamation of the Institute using any means, or indulges in disciplinary breaches, then the student can be immediately withdrawn, and the admission and student visa (when applicable), can be cancelled without any prior intimation.
d. The student breaches any law of the land or policies of the Institute, then the Institute can cancel the admission /student visa without any prior intimation.
e. The student does not maintain sufficient level of attendance
f. The student causes physical breakage/ damage to the Institute property
g. The student is found smoking or drinking alcohol on the Institute premises 10. In the event of a student’s temporary or permanent exclusion from a Program, or expulsion from the Institute, no refund of tuition or other charges for the current academic year, deposit, will be made.
